Maple Leafs Playoffs & Other Road Closures

Please note that there will be intermittent road closures that will affect York Street and possibly access to our parking garage on Toronto Maple Leafs game days scheduled for Sat, May 14. On Mon, May 16, York St. (Front St. to Wellington St.) and Bay St. (Front St. to King St.) will be closed for filming from 7 am - 9 pm, limiting access to our parking garage.

Accounts Payable Clerk

Summary of Duties:

Performs a variety of functions requiring familiarity with accounting systems, procedures, and practices. Primarily responsible for accounts payable functions.

Job Responsibilities and Accountabilities:

  • Manages and monitors daily cheque requisitions and disbursements.
  • Responds to both internal and external inquiries, and ensures all requests are being processed and addressed in a timely manner.
  • Ensures the accurate and timely processing of expense claims, vendor invoices, credit cards, and client disbursements by reviewing taxes, coding, supporting documents, authorization, and adherence with firm policies.
  • Reconcile outstanding vendor invoices and ensure payments are fulfilled.
  • Assesses the most effective payment method and initiates payment via cheque, wire transfer, or credit card and follows specific processes for each method.
  • Ensures costs allocations are up to date and proactively follows up to determine where items should be booked.
  • Journalizes daily disbursement.

Qualifications:

  • Previous experience in accounts payable in a law firm required.
  • Possesses a solid knowledge of accounting principles and mathematical skills.
  • Applicants must be organized, numbers-oriented, and have a strong attention to detail.
  • Strong technical skills and proficient in Microsoft Office 2013.
  • Experience in 3E accounting system is a plus.
  • Have exceptional written and verbal communication skills; be organized and meticulous with follow-up and details; and able to take initiative, prioritize, and multi-task.

Commercial Real Estate Legal Assistant

We have an immediate opening for a Commercial Real Estate Legal Assistant with at least 5 years’ experience. Knowledge of acquisitions, dispositions, financings, project development, and condo and development work is an asset. Real estate statutes and practices, legal concepts and procedures, transactional experience and broad, but thorough knowledge of basic legal principles is essential for this role.

Summary of Duties:

As a Real Estate Assistant, you will be responsible for a wide variety of legal and administrative duties within the real estate sphere, supporting a Lawyer.

Job Responsibilities and Accountabilities:

  • Maintain an efficient filing system for both electronic and hard copy files
  • Prepare routine documents and letters regarding real estate matters/transactions
  • Organize/collect material for commercial real estate deals and summarize this information, as needed
  • Performance of full clerical, administrative and general office duties, including opening and closing files, entering dockets, preparing proformas, account letters and invoices
  • Assist with general practice management, including coordination of meetings, managing calendars and making travel arrangements
  • Handle all related accounting procedures and any other administrative tasks as required
  • Other related duties as assigned

Qualifications:

  • Completion of a recognized college Law Clerk/Legal Administrative Diploma
  • Minimum of 5 years’ experience working within Commercial Real Estate within a law firm environment
  • Strong technical skills and proficient in Microsoft Office 2013 and Document Management systems
  • Experience in Teraview would be an asset
  • Have exceptional written and communication skills, are organized and meticulous with follow-up and details and is able to take initiative, prioritize, and multi-task

Corporate Services Law Clerk

We have an immediate opening for a Corporate Services Law Clerk with 10+ years of experience. As a preferred candidate, you thrive in a fast-paced work environment, possess top-notch client service skills as well as extensive knowledge of corporate statutes and procedures.

Job Responsibilities and Key Competencies:

  • Preparing articles, including but not limited to incorporations and organizations, amendments, amalgamations, continuances, revivals and dissolutions
  • Preparing corporate documents to implement changes and update of minute books, including but not limited to dividend, bonus, redemption, purchase for cancellation, transfers and issuance of shares, and change of directors and officers
  • Drafts agreements and provides supporting documents relating to corporate and tax reorganizations and rollovers; share and asset purchases; and sale transactions
  • Drafts closing agendas for share/asset purchase transactions
  • Managing extra-provincial registrations and licensing
  • Conducts corporate due diligence reviews

Qualifications:

  • Successful completion of a recognized Law Clerk program, or equivalent work experience
  • 10+ years’ experience as a Corporate Law Clerk
  • Strong skills in Microsoft Office and Hummingbird Docs DM and Corplink
  • Excellent communicator with fundamental problem-solving and analytical skills
  • Detail-oriented, well organized, possessing an above-average ability in prioritizing and multi-tasking
  • Reliable and dependable

Billing Clerk

We have an immediate opening for a Billing Clerk.

Summary of Duties:

Performs a variety of functions requiring familiarity with office/department accounting systems, procedures, and practices. Primarily responsible for billing functions.

Job Responsibilities and Accountabilities:

  • Prepares and distributes the firm’s pre-bills (and e-billing) and reports in an effective and timely manner.
  • Monthly and quarterly processing of bills while implementing the firm’s billing policies and procedures.
  • Manages, reviews, and maintains the firm’s billing system and ensures that it is up-to-date.
  • Troubleshoots and responds to telephone and email queries from Legal Assistants and Lawyers.
  • Cross-trained in Accounts Payables and Trust for coverage purposes.

Qualifications:

  • Previous administration experience relating to accounting and/or billing required.
  • Experience in Accounts Payable and Trust is a definite asset.
  • Poses a solid knowledge of billing/accounting principles and mathematical skills.
